Writing a Job Description Best Practices

  • One of the most important things you can do when writing your job description, is to be authentic and genuine in your approach. Doing so will help the applicant to envision what the culture and character is within your organization. As you put the finishing touches on your description, here are some dos and don’ts you may find helpful.

    • Do mention your mission statement in the company profile section. This is an excellent way to share your vision with potential candidates. Often, individuals may find the mission statement to be something they can relate to and that it includes goals they are excited to help your organization reach.
    • Don’t talk openly about benefits packages or pay scales which is often contrary to company policy. Stick to more general information without divulging sensitive material.
    • Do give the applicant a clear set of instructions regarding what steps to follow through the submission process. Determine that all links are working appropriately and will efficiently lead the applicant from one step to another.
    • Don’t be too verbose or wordy in describing responsibilities. Doing so will lose the interest of the reader and may come across as overbearing and portray your organization as one that micro-manages their employees.
    • Do verify which skills and qualifications are necessary and which are preferred. This will help applicants to determine whether or not the job is suitable for them.
    • Don’t overlook the descriptive details. For example, use action verbs when talking about responsibilities so the applicant can envision his role in your organization.

The Warehouse Worker Job Description Sample shown above is an excellent example of one you might use to attract and recruit new hires. Remember to make your own edits to develop a description that is authentic to your organization.

Warehouse Worker Job Responsibilities

Warehouse worker job responsibilities can differ dramatically depending on the industry and role, so it’s important to use the job responsibilities section to clearly define the role you’re hiring for in your warehouse worker job description. You’ll want to list any heavy equipment usage the position will entail (pick lifts, pallet jacks, etc.) and elucidate whether it’s a dry, cold, frozen or combination facility.

It’s also best to cover the amount of paperwork and customer service required: Will warehouse workers write their own BOLs, or will office staff take care of most of the paperwork? How much coordination with truck drivers do non-supervisory positions require? Is product produced on site, and if so, will this position involve production and packaging, or just picking, loading and putting away product?

The following bullet points offer examples that you can modify to use in your warehouse worker job description:

  • Load and unload containers, pick product and put it away with a standing or sitting forklift and/or pallet jack
  • Fill out paperwork correctly, neatly and completely to document inbound and outbound product
  • Count product (including partial pallets) with high accuracy to track inventory
  • Communicate with drivers politely and professionally
  • Check and record inbound and outbound trucks
  • Maintain all OSHA protocols and safe food-handling standards
Warehouse Worker Job Specifications

You might not have many warehouse worker job specifications, but they’re often a key aspect of a posting. The job qualifications and skills section helps ensure your warehouse worker job description does the important job of winnowing out a large volume of unsuitable jobseekers while funneling the right applicants your way.

You’ll want to fit your list into 4-6 bullet points. It’s important to be cautious about your minimum standards. Many managers struggle with high turnover, which can be due to setting minimum requirements for a job too high. This leads to overqualified hires who feel underutilized in a position and move on quickly. Consider breaking up your list into minimum and preferred qualities, which will allow you to gauge candidates in person as to interest and fitness.

The following are some examples of specifications from a warehouse worker job description:

  • Minimum 6 months’ experience as a fork lift driver or equivalent; 2 years’ experience preferred
  • Demonstrated mastery of pick lifts and loading jacks
  • Terrific communication skills to coordinate smoothly with team members and liaise with truck drivers
  • Ability to read and write in English for checklists, documentation of inventory and filling out BOLs as needed
  • Comfortable calculating quantities of product on partial pallets based on the number of items in a layer on a pallet
  • Able to lift and carry up to 70 pounds
