Interview Invitation Email

An interview invitation email serves a particular purpose. It must tell the applicant that they are invited to move to the next round of the hiring process and provide all the necessary information for the interview.
It’s best to have several different versions of this interview invitation email on hand: one for an on-site interview, another for a video interview, and one for a telephone interview. Our interview invitation email example below can be adapted to fit any of these three needs by making some minor adjustments to the text.
Regardless of how you plan to interview the candidate, all interview invitation emails should contain the same basic information. Include the location, date, and time of the interview first. Next, list the people who will conduct the interview. After that, detail the items the candidate should bring to the interview (such as copies of their resume, their professional portfolio, or a list of references). Also, be sure your message includes contact information in the event the applicant gets lost or experiences an unforeseen problem on the day of the interview.
Most likely, you’ll send this message via email. Sending a well-written interview invitation email will help answer many of the applicant’s questions right away and will (hopefully) make the interview process run smoothly.

Interview Invitation Email

Subject: Morningstar Café Wants to Interview You

Dear Amy:

Thank you for your application for the Bar Manager position at Morningstar Cafe. Your cover letter and resume show that you have terrific experience in both the bar and restaurant industry and I’d love to learn more about your background. I would like to schedule a time for us to meet for a face-to-face interview at the café.

During the interview, you will have the chance to learn more about the ins and outs of the Bar Manager position and to meet some other members of our staff. The interview should take roughly one hour.

The café is located at 1010 Jones Street in Piedmont. Please bring a list of three references and three copies of your resume to the interview.

During the interview, you will be speaking to the following people:

• Jennifer Smith, Executive Chef
• Jessica Font, Front of House Manager

You will speak to each for approximately 30 minutes. To make the meeting time as convenient for you as possible, we invite you to choose from one of the following start times:

• Monday, Jan, 4th at 11:30 a.m.
• Monday, Jan. 4th at 1:30 p.m.
• Thursday, Jan. 7th at 9 a.m.

Please respond with your availability no later than Friday. If you have any questions or problems before the interview, please contact me at 555.5555. We look forward to meeting you.

Note that the tone of this interview invitation email example is friendly but professional. It includes welcoming words along with all of the pertinent information the candidate will require at the interview.

When writing your own interview invitation email, be sure that it contains all of the critical information. This includes the date, time (or choice of times) and location of the interview, the names and titles of people who will interview the candidate and items the candidate needs to bring to the interview, such as copies of his or her resume, a list of references, or a professional portfolio. Finally, be sure to include contact information for the hiring manager in case of emergency on interview day.
