Interview Reminder Letter Sample

Imagine you’re content in your current job and not planning on going anywhere when you receive a letter from a recruiter eager to headhunt you. What would make you read the mail and consider turning everything upside down to move to another company?

After all, employers no longer sit in the saddle when it comes to hiring. It’s now a jobseeker’s market, which means that companies need to work harder to attract great talent and to keep possible hires engaged throughout the hiring process. That reality applies to all candidate communication efforts, and the interview reminder letter is no exception.

So, yes – like the interview reminder letter sample below – your document should answer the following questions:

• When is the interview? (Include date, time, and time zone)

• Roughly how long will the interview take?

• Where is the interview? (If it’s a face-to-face)

• How can the interviewee join the interview (If it’s a phone or video interview)

But it should also start to communicate the idea that your company is a great place to work and that you truly value your employees.

As you can see from the above interview reminder letter sample, there’s a nice balance between communicating essential details in an easily readable way and engaging the candidate with a personalized, welcoming message.

More specifically, the interview reminder letter sample uses the candidate’s name and mentions work experience and skills that are particular to them. Even these small gestures can show an applicant that you really are interested in getting to know them and having them join your team.

Similarly, the short blurb about the company is an employee-centric message. It focuses more on how employees at the company benefit by working there and less on what the company sells, how successful it is, etc.

If you’re not sure what kind of information to include here, think about your company values or call on your own employees to share a few of the reasons they enjoy being part of your organization. If you’re hiring for a larger company, you may even want to look at popular company review sites to get a sense of what your employees are saying about you.

Finally, the letter closes by requesting that the interviewee confirm their attendance. This is key, as it can help you manage your schedule and do further follow-up if necessary.
